Privacy Policy

How GT 360 collects, uses, and protects your information across the Drive GT360 app and the GT 360 platform.

This Privacy Policy explains how GT 360 ("GT 360", "we", "us") collects, uses, and protects information when you use the Drive GT360 mobile application (the "App") and the GT 360 web platform (together, the "Services"). The Drive GT360 App is a workforce application for professional drivers who are authorized by an organization (an employer or fleet operator) that uses GT 360. It is not intended for the general public.

1. Information We Collect

We collect the following categories of information to operate the Services:

  • Account & profile information: name, email address, phone number, account credentials, the organization/location you belong to, and an optional profile photo.
  • Precise location data (including background location): your device's GPS coordinates, speed, heading, and accuracy. With your permission, the App collects location while it is in use and in the background, including when the screen is off, so dispatchers can coordinate trips and so the App can record assigned trips. See Section 3 for full detail and your controls.
  • Motion & activity data (Android only): on Android, with your permission, the App uses the system's activity-recognition service to detect when a vehicle starts moving, so it can resume location sampling without keeping GPS on. This signal is processed on your device only and is never transmitted or stored. On iOS, motion sensors are not used. We do not use this for health or fitness purposes.
  • Trip & operational data: trips assigned to you, on-duty/off-duty status, trip status changes, and reports you submit.
  • Financial information: the expenses you submit — amount, category, date and description — together with the receipt photos you attach, your tax documents (such as a W-9), and the earnings shown to you in Payroll.
  • Device & diagnostic data: device model, operating system version, and app version, plus technical signals sent with your location points so we can tell a real outage from a phone saving power: battery level and charging state, whether low-power mode is on, whether the App was in the foreground or the background, the state of the location engine, and the scope and precision of the location permission you granted.
  • Photos & camera: if you choose to set a profile picture or attach a photo to a report, we access your camera or photo library only for the image you select.

2. How We Use Your Information

  • Show your real-time position to authorized dispatchers within your organization.
  • Assign, track, and record trips and driver activity.
  • Send operational push notifications (e.g., new trip assignments, alerts, alarms).
  • Authenticate you and keep your account and session secure.
  • Provide customer support and respond to your requests.
  • Maintain, troubleshoot, and improve the reliability of the Services.
  • Comply with legal obligations.

We do not use your data for advertising, and we do not track you across apps or websites owned by other companies.

3. Location Data & Your Controls

Location is central to the App's purpose: it lets your organization coordinate trips and lets the App record the routes of assigned trips. To make this work reliably, the App can access location in the background. We have designed location collection to be proportionate:

  • Off duty: when you set your status to Offline — a control available to you at any time inside the App — the App stops collecting and sending your location entirely.
  • On duty, no active trip: the App uses low-power location signals (significant-change and geofencing) rather than continuous high-accuracy GPS.
  • On an active trip: the App uses continuous, higher-accuracy GPS so the trip can be tracked, then returns to low-power mode when the trip ends.
  • Dispatcher-requested position: your dispatcher may request a one-time location update while you are On Duty. Your device wakes, takes a single position reading and sends it. This is rate-limited, and it is not available while your status is Offline.

You control location and motion permissions at any time through your device's system settings, and you can sign out or set yourself Offline within the App. Denying or revoking background location may limit core functionality of the App.

4. Data Sharing

We do not sell your personal information. We share information only in these limited cases:

  • Your organization: the employer or fleet operator that authorized your account can see your location, status, and trip activity for operational purposes.
  • Other drivers at your location: when your organization enables driver location sharing, other drivers assigned to your location can see your name, profile photo, live position, heading, speed, accuracy, activity and battery level, and can review up to 30 days of your location history. Your organization controls this setting; it is not on by default and you are not asked to consent to it separately.
  • Service providers: providers that process data on our behalf under confidentiality obligations. Today these are Google (Firebase Cloud Messaging for push notifications, and the Maps SDK for the in-app map), Brevo (transactional email, such as invitations and password resets) Cloudflare R2 (storage for the photos and documents you upload) and LocationIQ (route and distance calculation between points), alongside our own hosting and infrastructure providers.
  • Legal requirements: when required by law, regulation, legal process, or to protect rights, property, or safety.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Data Security

  • SSL/TLS encryption for all data transmitted between the App and our servers.
  • Authenticated, access-controlled APIs and secure data storage.
  • Limited employee access to personal data on a need-to-know basis.
  • Regular review of our security practices.

6. Data Retention

We retain personal and operational data for as long as your account is active and as needed to provide the Services and meet legal, accounting, or reporting requirements. Specifically:

  • Location history: your recorded location points are deleted automatically 30 days after they are recorded. Geofence entry and exit events follow the same 30-day schedule.
  • Trip records: archived trips are retained for up to 180 days on the platform, and longer where your organization's own accounting or tax obligations require it.
  • Profile, credentials, expenses and uploaded documents: deleted when your account is deleted. See Section 7.

When your account is deleted, your location history is deleted too. It is removed by a daily automated sweep rather than in the same instant as the account, so there is a short window — at most 30 days, and in practice within a day — during which it has not yet been erased. This applies whether you delete the account yourself or your organization removes you. When data is no longer needed, we delete or anonymize it.

7. Your Privacy Rights

Subject to applicable law, you have the right to:

  • Access: request a copy of your personal data.
  • Correction: update or correct inaccurate information.
  • Deletion: request removal of your personal data, including your account.
  • Objection / restriction: object to or restrict certain processing.

To delete your account, you have two routes. In the App, open Profile → Delete Account and confirm with your password; this takes effect immediately. If you cannot reach the App, use our public account deletion page, which explains exactly what is deleted and what your organization may keep, and lets you send a request by email without signing in.

We confirm receipt of verified requests and complete them within 30 days. Some requests may be coordinated with your organization, which is the controller of your work-related data.

8. Children's Privacy

The Services are intended for authorized professional drivers and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last Modified" date above. Your continued use of the Services after an update constitutes acceptance of the revised Policy.
